The archive inventory is an operation that identifies, lists and verifies stored records, whether in paper or digital format, in order to improve their organisation, traceability and management. For public archives, inventory requirements may be governed by specific regulations that define the applicable procedures and, where relevant, their frequency.

They compile an inventory of your documents and identify potential risks that may affect their integrity (storage conditions, physical condition, filing status, etc.). Our archivists, all graduates of higher education institutions, oversee every stage of archival processing. They work with you to develop the most suitable research tools for your organisation’s structure and workflow. They then sort and file your archives according to their nature and typology, taking into account their retention period as well as their final disposition.

Preparation and execution of archive transfers and disposals

Regularly disposing of archives frees up space, improves efficiency, and simplifies document retrieval. This applies to both paper and electronic documents.

Once their administrative utility period (AUP) has expired and sorting has been completed, public archives approved for destruction by the relevant archival authority (such as the Interministerial Archives Service of France, Departmental Archives, Archives Authority or Local Revenue Authority) may undergo an authorised disposal process.

To ensure secure and confidential destruction, AGS Records Management offers a dedicated paper waste recycling service.

Permanent or historical archives, however, must be transferred to a designated permanent archives service for indefinitestorage. Our team of archivists prepares the transfer form and ensures the proper handover of your archives in full compliance with regulatory requirements.
